Overview

Guestcount ("Guestcount", "we", "us") provides event-organization software for curators, promoters, venues, and brands ("Organizers") to manage guestlists, page builders, communications, and door check-in. This policy describes what personal information we collect from Organizers and from guests who interact with Organizer pages, how we use it, and the choices you have.

Information We Collect

When you use Guestcount, we may collect:

  • Account information for Organizers: name, email address, organization name, login credentials, and mobile phone number.
  • Guest information that an Organizer collects or enters about you (for example on an RSVP page, a guestlist, or a personalized invite link): name, email address, mobile phone number, and any additional fields the Organizer chooses to collect (for example company, role, dietary preferences, +1 details). To help Organizers manage their lists, some fields (such as a likely-gender suggestion) may be generated automatically from the information provided; Organizers can edit or clear these.
  • Event interaction data: RSVP status, check-in time at the door, message history with the Organizer, and whether you opened or clicked the Organizer's email and SMS messages (so the Organizer can see whether their messages are reaching guests).
  • Technical data: IP address, device and browser type, and cookies used to keep you signed in and to measure aggregate usage. For Organizer accounts we also keep a sign-in history (the date, IP address, and device of successful logins) to help secure the account and let account administrators review recent activity. For Organizers who use our iOS app and turn on notifications, we also store a device push token and their notification preferences so we can send (and let them control) push notifications.
  • Session recording: on our public marketing and informational pages, and on the signed-in Organizer and staff areas of the app (such as the dashboard, door check-in, and admin tools), we may use a third-party analytics tool to replay how those screens were used — clicks, navigation, scrolling, mouse movement, and the same coarse technical and device data described above — so we can debug problems and understand how people move through the product. These recordings are privacy-masked: all on-screen text and everything you type into a form is hidden before it leaves your browser, and on the signed-in app screens images and media are blocked and identifiers are stripped from page addresses. As a result the recordings capture layout and interactions only — not typed values, not names, emails, or phone numbers, and no guest or other Organizers' data. We do not record sessions on guest RSVP or check-in pages.
  • Prospect information you submit through our contact, early-access, or interactive features such as games and promotions: your name or chosen display name, email address, phone number, organization, and what you tell us about your events, so we can follow up with you. For some interactive features, a display name you choose is shown publicly (for example on a game leaderboard); please do not use a name you would not want shown.

Marketing & Transactional Communications

Phone numbers collected through a Guestcount guestlist or RSVP page are used to deliver SMS messages related to that event, including: RSVP confirmations, event details (address, start time, dress code), day-of reminders, changes or cancellations, door check-in coordination, and event follow-ups. By submitting your phone number on an Organizer's page, you consent to receive these messages from Guestcount on the Organizer's behalf.

Message frequency varies by event. Message and data rates may apply. You can opt out at any time by replying STOP to a message you have received; you can also reply HELP for assistance, or email support@guestcount.com. Opting out of SMS will not affect other event-related communications you have separately agreed to, such as email.

We do not use phone numbers collected for one Organizer's event to send messages on behalf of a different Organizer, and we do not sell phone numbers or share them with marketers. SMS messages are delivered through trusted third-party carriers and messaging providers (such as Twilio and Infobip), who act as data processors on our behalf.

Marketing communications. Separately from event and transactional messages, an Organizer may send you marketing about future events. Marketing SMS is sent only if you expressly opt in (a separate, unchecked option at RSVP); you can stop it any time by replying STOP. Marketing email: if you are in the EU, UK, EEA, or Switzerland, an Organizer sends you marketing email only if you opt in at RSVP; if you are elsewhere, an Organizer may send you marketing email until you unsubscribe (a link is in every marketing email). Whether opt-in is required is determined from signals available at RSVP (such as your phone number's country, your approximate location, and your browser language); where this is unclear, we treat you as requiring opt-in.

Guestcount's own email. Separately from any Organizer, Guestcount keeps its own email marketing list and may email you about Guestcount if you are or have been a Guestcount customer, or if you gave us your email another way — for example by playing a game at /play or submitting our contact form. This is email only — we never text you — and you can unsubscribe at any time. Guestcount does not send its own marketing to an Organizer's event guests; those messages come from the Organizer, delivered by Guestcount as their service provider.

Organizer SMS command interface. Authorized Organizers may use SMS to send commands to their organization's dedicated Guestcount number and receive direct responses or confirmations; those responses may include event and guest details for the Organizer's own events. Mobile numbers used for this feature are limited to numbers the organization authorizes, and are used only to authenticate the Organizer and deliver those responses — not for marketing or unsolicited messaging. Message frequency varies. Message and data rates may apply. Reply STOP to disable command access for that number, or HELP for assistance.

How We Use Information

We use the information we collect to:

  • Operate and improve the Guestcount platform.
  • Enable Organizers to communicate with their guests by email and SMS for guestlist purposes, as described above, and show Organizers whether those messages were delivered, opened, or clicked.
  • Provide check-in functionality at the door and reconcile RSVPs with attendance.
  • Send push notifications to Organizers on their iOS devices when they have turned them on.
  • Detect and prevent fraud, abuse, and security incidents.
  • Comply with legal obligations.

Sharing

We share guest information with the Organizer whose page was used to collect it. We share information with service providers (hosting, analytics, email and SMS delivery, mobile push notification delivery, and customer-relationship management for our own sales and marketing follow-up) under contracts that require them to protect the data and use it only for the services they provide to us. Prospect information you submit (for example through our contact form or an interactive feature such as a game) is shared with our CRM provider so we can follow up with you. To send push notifications to an Organizer's own devices in our iOS app, we use Apple's Push Notification service, which receives the device's push token and the notification content. We may disclose information if required by law or to protect the rights, safety, or property of Guestcount, our users, or others.

Certain features, such as support diagnostics and automated assistance, are powered by a third-party artificial-intelligence provider (Anthropic). The limited information needed to perform those functions, which may include guest information, is processed by that provider as our service provider, under terms that require it to protect the data, use it only to provide the service to us, and not use it to train its models.

Retention

We retain account and guest information for as long as the Organizer's account is active and for a reasonable period afterward to support audit, dispute resolution, and legal requirements. We retain prospect information (including game and leaderboard entries) until it is no longer needed for follow-up or you ask us to delete it. Device push tokens are kept until you turn off notifications, Apple invalidates the token, or your account is deleted. You may request deletion at any time by emailing support@guestcount.com.

Your Choices

You can opt out of SMS at any time by replying STOP. You can request access to, correction of, or deletion of your personal information by contacting us. Depending on where you live you may have additional rights under applicable law (for example, the GDPR or CCPA).

If you are in the EEA, the UK, or Switzerland, we ask for your consent before analytics or session recording run, and you can decline non-essential cookies at the banner. Anywhere in the world, you can change or withdraw your analytics and session-recording choices at any time using .
